Optimizing Package Management in a Fully Stabilized Luxury High-Rise: Transitioning to HelloPackage for Over 50,000 Package Deliveries

Overview

500 Folsom is a residential high-rise in San Francisco’s East Cut neighborhood. It includes over 500 units and is part of the city’s broader plan to increase housing near the Transbay Transit Center. The building serves a mix of residents and stays busy, with steady move-ins, daily resident requests, and a constant flow of deliveries.

As the property reached full occupancy, it became evident that over 80% of the Concierge team’s time was being consumed by managing packages and coordinating with delivery drivers. While the team was performing admirably overall, certain day-to-day processes began to feel stretched.

The primary concern wasn’t about major issues, but rather the friction created by small inefficiencies. These minor challenges were accumulating, diverting valuable time and attention away from higher-priority tasks. Addressing these areas, particularly package handling, could significantly enhance the team’s overall effectiveness and service quality.

Challenge

The number of packages wasn’t surprising for a building this size, but the process for handling them hadn’t fully kept up. Tracking was inconsistent. There wasn’t always clarity on what had arrived, where it was stored, or whether it had been picked up. On top of that, the existing system fell short of meeting residents’ expectations and addressing their concerns.

The onsite team did what they could, but the time it took to manage this part of the operation was becoming a distraction. The team needed something clearer and more reliable, without making things more complicated than they already were.

Solution

The team at HelloPackage approached the project with a practical, collaborative mindset. From the start, they worked directly with the property management team to understand how things were actually operating day to day. Together with on-site staff, the HelloPackage team reviewed pain points, walked through workflows, and introduced tools to improve tracking, communication, and consistency. The goal was to make package handling more predictable and less time-consuming, without adding unnecessary complexity to the staff’s workload.

What made the difference was the ongoing support. HelloPackage didn’t disappear after implementation; they stayed involved, checked in regularly, and helped fine-tune the system as operations evolved. This included dedicated customer success check-ins and on-site package room management hours every week to ensure optimal throughput. This consistent engagement allowed for real-time adjustments and improvements, fostering a strong partnership that helped the onsite team build trust in the system and adjust with confidence.

The Impact

HelloPackage was first deployed at 500 Folsom in late 2020, during the height of the COVID-19 pandemic. From the start, the property took a future-focused approach—converting a former bike room into a 500-square-foot HelloPackage room equipped with over 48 smart and oversized shelving zones. The system was designed not just to meet the needs of the moment, but to scale with the building.

And scale it did.

Since launch, the package room has handled steady, high package traffic—roughly 45K–60K packages per year for a single building.

  • 2021: 52,451
  • 2022: 50,728
  • 2023: 45,972
  • 2024: 48,780
  • 2025 (Jan–July): 34,872

From the beginning, HelloPackage removed the burden of package handling from the on-site team. With a dedicated space and a system run by HelloPackage Ambassadors, staff were able to focus on higher-priority work. Regular reconciliation sessions ensured packages were properly logged, enabling smooth retrieval and reducing the need for resident support.

To put this in perspective, the building’s residents each pay an average of $3,400 per month in rent, in one of the most expensive housing markets in the country.

As the cost of living in San Francisco climbed past $9,000/month for a single resident, reliance on delivery services only grew—driving consistently high package volume. Without HelloPackage, onsite staff would have shoulder the burden of managing nearly 140 deliveries per day, at San Francisco labor costs. Instead, the automated system protected operating efficiency while elevating the resident experience—helping the property justify premium rents and retain tenants in a competitive, high-cost market.

In Their Words

“As a property manager, I have had a highly positive experience working with HelloPackage. Our account representative has been incredibly helpful and supportive, constantly working with our team to identify new efficiencies, implement process changes, and enhance the overall resident experience. Their dedication to collaboration and continuous improvement has made them an invaluable partner in our community’s management efforts.

We have encountered one negative experience related to some misunderstandings with the accounting process. There was a situation where our community was billed for work that was never authorized, which caused some confusion and frustration. We believe that improving the clarity and accuracy of the accounting process will further strengthen our partnership and streamline our operations. We are grateful for their assistance and look forward to continuing our partnership in the ongoing journey of enhancing the resident experience.”
